Sales Menu and Dashboards

The CRM module’s primary dashboard is the first screen users see when they access it. In Odoo 17, leads and opportunities are organized based on their progress in the sales pipeline, following a staged approach including My Pipelines, My Activities, My Quotations, Teams, and Customers.

Odoo’s highly integrated design allows leads to be collected from multiple sources, such as a company’s website, social media platforms, live chat, email, SMS, and more. With Odoo 17 CRM, businesses can efficiently manage these leads, which can be converted into opportunities and, eventually, sales quotations based on customer interactions. This CRM module plays a crucial role in helping businesses maximize sales opportunities.

The CRM module offers four main menus: Sales, Leads, Reporting, and Configuration, each containing a variety of options to manage customer relationships. 

The My Pipeline section under the Sales menu provides an overview of all leads generated from different channels.

The updated design of the Odoo 17 CRM dashboard includes a colorful and user-friendly interface. 

Users can view data in various formats such as Kanban, List, Calendar, Pivot, Graph, Map, and Activity views, similar to previous versions of Odoo. The Kanban view of the pipeline, in particular, organizes leads by stage, making it easy for users to track their progress and assign them to various stages.

Stages such as New, Qualified, Proposition, and Won are pre-defined, but users can add custom stages by clicking the +Stage button. This button opens a new field to name the stage, and stages can be customized further by clicking the gear icon next to the stage name. Options like Fold, Edit, Automation, and Delete allow for complete control over the stages. Additionally, users can designate a stage as the Won stage, fold it in the Kanban view, and assign it to specific sales teams.

Odoo 17 also provides tools for estimating potential revenue at each stage, with the Expected Revenue displayed at the top right of each stage. Users can drag and drop leads between stages, and the system will automatically update the estimated revenue. Each lead in the pipeline is marked with stars to indicate priority levels: Medium, High, or Very High. Leads with higher priorities can be easily identified this way. Additionally, users can schedule lead-related activities directly from the main dashboard using the clock icon. If there are already scheduled activities, they will appear when this icon is clicked. Otherwise, users can create new activities by selecting the Schedule An Activity button.

A new feature in Odoo 17 CRM is the Call Queue, which allows users to add leads to a call queue with a single click. This option is located near the activity scheduling button. Leads can also be quickly added to various stages using the Quick Add option, indicated by a “+” icon next to each stage’s title.

Odoo 17 CRM provides advanced filtering and sorting options through the Filters, Group By, and Favourites features, allowing users to quickly locate specific data. 

In the List view of the pipeline, users can see a detailed preview of each opportunity, including information like the name of the Lead, Email, City, Country, Assigned Partner, Salesperson, and Sales Team, as shown below.

Additional lead information, such as customer location, priority, and expected closing date, can be included in the list view to further enhance the data presentation. Users can also communicate directly with salespersons via email or SMS from the leads section.

My Activities Menu

The My Activities window provides a similar view to the My Pipeline window but only displays leads and opportunities assigned to the user. This feature allows sales teams to focus on their assigned tasks efficiently.

Generate Leads

Odoo 17 Enterprise offers a simple lead generation feature within the CRM module. To enable it, activate the “Lead Mining” option from the Settings menu under the Lead Generation tab. 

Users can automatically generate leads by clicking the “Generate Leads” button in the Leads management window.

A pop-up will appear, allowing you to set Lead rules and target Countries, States, Industries, Filters, and Companies. Then, assign Sales Teams or Salespersons.

Then press the ‘Generate Leads’ button. This will automatically generate leads. However, lead generation is a paid service requiring credits. So, if you do not have enough credits, the window will show a warning message asking you to buy credits, as shown below.

Then, click on the ‘Buy Credits’ button to buy credit points for certain amounts from an Odoo IAP window, as shown below.

Here, we can easily buy the credit points by simply clicking on the Buy button when you have already configured your Odoo account credentials and bank account details. 

You can also access lead mining requests through the Lead Mining Requests section of the Configuration menu, where you can manage and submit new requests based on specific criteria, such as lead count and target details.

Reporting Menu

The reporting tool in Odoo 17 CRM is a key feature that helps analyze the overall performance of the module. You can track CRM activities daily, monthly, and yearly through the Reporting menu. Reports are available for the Dashboard, Forecast, Pipeline, Leads, Activities, Partnerships, and Lead Generation.

Forecast

The forecast reporting tool lets you analyze anticipated revenues, which are available in Kanban, Graph, Pivot, and List views. You can filter reports by measurements, groups, and filters and view prorated revenue by month in the Kanban view.

Pipeline Analysis

This option helps analyze all pipeline operations within the CRM module.

Leads Analysis

The Leads reporting feature shows lead reports from various channels. It helps make data-driven decisions to improve lead generation.

Activities

View reports on all scheduled and completed activities in the CRM module.

Partnerships

This feature displays a graphical analysis of financial turnover with partners, along with reports on opportunities created with their assistance.

Configuration Settings Menu

The Configuration Menu of the CRM module can be used to tune in various settings options. These settings can enhance functionality related to the CRM, Lead Generation, and Partner Commissions tabs provided under the Settings window. These include:

Recurring Revenues: Enable this to define recurring plans and revenues for opportunities.
Multi Teams: Allows assigning a salesperson to multiple sales teams simultaneously.
Predictive Lead Scoring: Estimates the probability of closing leads based on factors like stage, email, and phone quality.
Rule-Based Assignment: Automatically assign leads to salespeople based on predefined rules.
Lead Generation: Enables features like Lead Enrichment, Lead Mining, and Visits to Leads to enhance lead management.
Partners Commissions: Set rules for automatic purchase order frequency and minimum amounts.

These options streamline sales processes and boost CRM efficiency.

Visits to Lead Rules

In Odoo 17 CRM, users can convert website visits into leads through the “Visits to Leads Rules” platform, found in the Lead Generation tab under the Configuration menu. To enable this feature, activate “Visits to Leads” in the settings. This integrates with Odoo’s Website module, so ensure it is installed.m,

You can create rules to convert visitors into leads based on their IP address. By clicking the “New” button, set rule details like name, target (companies or contacts), and website traffic conditions (countries, URLs). You can also filter by industry or company size and assign leads to sales teams or salespeople. Save the rule to start converting visits into leads.

Sales Teams

In Odoo 17 CRM, sales teams can be managed through the “Teams” option under the Sales menu. Sales teams are essential for managing leads, opportunities, and CRM processes.

 Each team has its own tab showing Open opportunities, Quotations, Expected Revenue, and Orders to Invoice, with access to the pipeline and management options like viewing leads, opportunities, and invoices.

New leads, opportunities, and quotes can be created, and advanced reports are available for each team’s performance. Sales teams can be configured and managed through the Sales Teams window of the  Configuration menu, where you can add new teams and members. Customer records are also tracked from various sources, including leads.

Utilize the ‘New ’ button to create new Sales Teams and edit the required details about the new team in the team configuration form as illustrated below.

Activity Types

In Odoo 17, the “Activity Types” feature allows you to schedule and manage various activities with customers, helping maintain regular contact. This feature is available across many sales and customer-related modules. You can configure different activity types through the “Activity Types” option in the Configuration menu.

To create a new activity type, click the “New” button, name the activity, select an action (e.g., call, meeting, reminder), and assign a model and default user. You can set up a default summary, icon, and notes for the activity. Additionally, you can configure “Next Activity” options to suggest or trigger follow-up activities after completing the current one, with options for scheduling and email templates.

Activity types, summaries, assigned employees, due dates, and more can be specified in the activity scheduling dialogue. Once the activity is complete, users can mark it as done or schedule another task using the Mark as Done or Done & Schedule Next buttons. Activities that are overdue will be marked in red, while those scheduled for today will appear in brown.

Lost Reason

In Odoo 17 CRM, you can track reasons for losing leads or opportunities and recover them later if needed. To configure lost reasons, go to the “Lost Reasons” option under the Configuration menu. You can easily add new lost reasons by clicking the “New” button.

When marking an opportunity as lost, select the “Lost” button, choose a reason from the drop-down list, and confirm. If needed, you can restore the lost opportunity by clicking the “Restore” button to reopen the chance for business.

Resellers Configuration

In Odoo 17, you can manage resellers and share leads and opportunities with them. Under the “Resellers” tab on your website, you’ll find a list of resellers.

Partner Levels

You can assign different Partner Levels through the “Partner Levels” option in the Configuration menu. New levels can be created with a name, level weight, and commission plan.

Partner Activation

Set up partner activation methods in the “Partner Activations” option under the Resellers tab. Simply name the activation method to track partner activity.

Commission Plan

Odoo 17 allows you to create commission plans for resellers. When a reseller brings sales, you can assign a commission based on the final invoiced amount. You can set up new commission plans under the “Resellers” tab, specifying product categories, rates, and rules. Once a sale is made, the system will automatically generate a purchase order for the commission, and the partner will receive their share.

Simply create new Commission Plans from the window itself by opening a new configuration form, as illustrated below.
